Operations & Project Administrator Permanent Monday - Friday 37.5 hours Stoke on Trent £29,000 Are you an organised administrator who enjoys bringing order to a busy operation? Do you thrive on coordinating multiple moving parts, ensuring everything is in the right place at the right time, and keeping communication flowing across different departments? We're recruiting for an Operations & Project Administrator to support a busy Despatch Manager within a growing manufacturing business. This is a pivotal role where you'll coordinate the movement of products between manufacturing sites and internal companies, ensuring stock is where it needs to be to meet customer demand. Working closely with production, despatch, transport and internal stakeholders, you'll play a key role in ensuring products move efficiently through the business while maintaining accurate records and keeping operations running smoothly.The Role Reporting directly to the Despatch Manager, you'll be responsible for coordinating the day-to-day administration surrounding the manufacture, movement and distribution of stock across multiple internal business divisions. This is a fast-paced position requiring exceptional organisation, strong communication skills and the ability to juggle changing priorities while maintaining a high level of accuracy.Key Responsibilities
  • Coordinate the movement of stock between manufacturing sites and internal companies.
  • Work closely with the Despatch Manager to ensure products are manufactured, transferred and delivered in line with operational requirements.
  • Process internal orders accurately and efficiently.
  • Maintain accurate stock movement and delivery records.
  • Produce daily manifests for trunking vehicles.
  • Prepare delivery notes and all associated transport documentation.
  • Liaise with production, warehouse, transport and other internal departments to coordinate stock movements.
  • Monitor delivery schedules and resolve any administrative issues promptly.
  • Ensure all documentation is completed accurately and within required timescales.
  • Provide administrative support to ensure the smooth day-to-day running of the despatch function.
About You You'll be someone who enjoys working in a busy operational environment and takes pride in keeping everything organised behind the scenes. We're looking for someone with:
  • Previous experience within a busy administration, logistics, planning or operations coordination role.
  • Excellent organisational skills and the ability to manage multiple priorities.
  • Exceptional attention to detail.
  • Strong communication skills with the confidence to liaise across multiple departments.
  • Good IT skills, including Microsoft Office.
  • A proactive, hands-on approach and the ability to work under pressure.
  • Experience within manufacturing, logistics or supply chain environments would be advantageous but is not essential.

  • Monday to Friday - open to 7.30am - 4pm / 8am - 4.30am
